Privacy Policy
VisibleOp handles business visibility data, account data, public web evidence, and approval records so customers can understand and improve how AI and search systems describe their business.
Pilot legal notice. This page is written for customer transparency and should be reviewed by counsel before paid production contracting.
1. Scope
This Privacy Policy explains how VisibleOp handles personal information and client workspace information when you use the VisibleOp website, portal, reports, approval flows, and related services.
VisibleOp is a managed AI and search visibility service. We inspect public websites, AI and search-engine answers, citations, query phrases, competitors, and technical visibility signals so customers can understand and improve how engines describe their business.
2. Information we collect
Account and contact information may include your name, email address, company name, authentication identifiers, workspace membership, and messages you send us.
Workspace information may include domains, brand terms, query phrases, competitors, approvals, technical findings, reports, uploaded or connected business context, and implementation notes.
Evidence and visibility information may include AI or search-engine responses, citations, public URLs, source reliability notes, crawler checks, sitemaps, metadata, schema findings, and other public web signals related to your business.
Usage and security information may include device, browser, IP address, timestamps, session cookies, log events, error events, and actions taken in the portal.
3. How we use information
We use information to provide the service, authenticate users, run technical audits, establish baselines, monitor AI and search visibility, generate reports and handoffs, manage approvals, support customers, improve reliability, prevent abuse, and comply with legal obligations.
We may use aggregated or de-identified operational information to understand product performance, improve workflows, and measure service quality. We do not use customer confidential information to create public marketing claims without approval.
4. AI, search, and crawler workflows
VisibleOp may submit customer-approved query phrases, brand names, public URLs, and public business context to AI engines, search engines, browser sessions, or other third-party services to measure how a business is described and cited.
Do not place passwords, private customer records, secrets, regulated personal data, or confidential material into query phrases or approval notes unless a separate written agreement permits that processing.
AI and search-engine outputs can be incomplete or inaccurate. VisibleOp stores evidence and source trails so findings can be reviewed, corrected, approved, or rejected.
5. Sharing and subprocessors
We may share information with service providers that help us run hosting, authentication, databases, email, analytics, security monitoring, customer support, AI and search measurement, payment processing, and infrastructure operations.
We may disclose information if required by law, to protect rights and security, to investigate abuse, or in connection with a business transaction such as a merger, financing, acquisition, or sale of assets.
We do not sell personal information. If a future feature involves advertising, cross-context behavioral advertising, or a legal category that requires opt-out rights, this policy should be updated before that feature launches.
6. Cookies and analytics
The portal uses cookies and similar technologies for authentication, session security, and service operation. The public website may use analytics and performance tools to understand traffic and improve the site.
Browser settings may allow you to block or delete cookies, but some portal features may not work without authentication and security cookies.
7. Retention
We retain account, workspace, audit, approval, evidence, and report information for as long as needed to provide the service, maintain an audit trail, resolve disputes, comply with obligations, and support customer records.
Customers may request deletion or export of workspace information. Some records may be retained where needed for security, legal compliance, billing, dispute resolution, or legitimate audit history.
8. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. No internet service is completely secure, and customers should protect their account credentials and limit access to authorized users.
VisibleOp is not a place to store passwords, secret keys, payment card data, health records, student records, or other sensitive regulated data unless a signed agreement specifically covers that use.
9. Your privacy choices
Depending on your location, you may have rights to request access, correction, deletion, portability, restriction, objection, or withdrawal of consent. These rights may vary by law and may be subject to verification and exceptions.
Saudi Arabia PDPL, GDPR, CCPA/CPRA, and other privacy laws may provide specific rights for covered individuals. VisibleOp routes formal privacy requests through the operational owner and counsel.
10. International processing
VisibleOp may process information in the United States, Saudi Arabia, or other locations where we or our service providers operate. Where required, transfers should be handled under appropriate contractual or legal safeguards.
11. Children
VisibleOp is intended for business users and is not directed to children. Users should not submit information about children through the service unless a written agreement and applicable legal basis allow it.
